Privacy Policy for MentorAbility UK

 

This privacy policy outlines the type of information MentorAbility UK collects and governs the privacy of users who choose to use it. The reason for collecting client or prospective client data is to deliver MentorAbility UK’s services to individuals.

Data Collected

The data is obtained, given freely and knowingly by the mentor client or prospective client at various points during the relationship and may be communicated by:

  • Telephone calls, texts, other message services, e.g. WhatsApp, Signal

  • Emails and attachments

  • Website enquiry forms

  • Face-to-face meetings

  • Virtual meetings

 

The personal information that you are asked to provide and the reasons why you are asked to provide it will be made clear to you at the point we ask you to provide your personal information.  Its key purpose is to provide a one-to-one mentoring service to you, our client.

 

If you contact us directly, we may receive additional information about you such as your name, email address, phone number and the contents of the message and/or attachments you may send us, and any other information you may choose to provide.

Data Storage

 

The data is stored and secured as follows:

 

  • Emails and attachments stored on an internet service provider’s server

  • Printed and handwritten notes stored in files and secured under a locked fire-proof safe

  • Data and information, e.g. written documents, are stored on a computer hard disk which is password protected.  This device is secured in a locked fire-proof safe.  Back-ups are on an external storage device which is also secured in a locked fire-proof safe.

  • Names and phone numbers stored on mobile phones are protected by fingerprint identification and/or passcode

 

Data is not shared with any other organisations.

 

In the event of a breach of the data regulations, such as; loss of paperwork, loss of IT devices, forced access to data by malware etc., MentorAbility UK will inform the client or prospective client within 24 hours and seek to rectify the situation as quickly as possible.

Data Retention

 

Data is stored for different periods. Client data is held for up to 7 years in order to provide current and future service to them.  Prospective client data is held for up to 3 years.

Your Rights

 

Clients and prospective clients have the right to:

 

  • know why and how their data is being processed

  • ask for a copy of the data held

  • have any data corrected that is inaccurate

  • have the data erased

  • place restrictions or a stop on the processing of the data

  • obtain and re-use the data for their own benefit

  • object to the processing of the data

Social Media Platforms

 

Communication, engagement and actions taken through external social media platforms that this website uses are covered by the privacy policies held with each social media platform respectively.

 

Users are advised to use social media platforms wisely and communicate/engage upon them with due care and caution in regard to their own privacy and personal details. Neither this website nor its owner will ever ask for personal or sensitive information through social media platforms and will encourage users wishing to discuss sensitive details to contact them through primary communication channels such as telephone or email.
